Collection of personal data

Kanj Technologies processes personal data about contacts (current and new clients and/or individuals associated with them) using Microsoft Outlook Contacts on version Office 2016.

The collection of personal data (namely “name’, ‘address’, ‘telephone number‘ and ‘email address’) is created initiated by an employee of Kanj Technologies and may also include further business contact details. In addition, Outlook Calendar may collect data from Kanj Technologies’ email such as (organiser name, participant name, date and time of event) regarding interactions between Kanj Technologies employees and contacts or third parties.

Usage of personal data

Personal data relating to business contacts may be used for our legitimate interests for the following purposes:


Administering, managing and developing our businesses and services

We may process personal data in order to deliver our business services that include:

  • managing our business relationship with clients
  • maintaining and using IT systems;
  • administering and managing our systems, applications and websites
  • managing our businesses and services (such as identifying client requirements and improving our service delivery and relationship with existing and future clients.
  • performing basic sales analytics for management, such as health of business relationship, sales intelligence and progress against account business objectives.

Providing information about us and our range of services

We use client business contact details to provide information what might be of interest about us and our services. For example, future IT strategies and adoption of solutions, social media-based industry updates and insights and other services that may be relevant.

Kanj Technologies does not sell or otherwise release personal data contained in the Kanj Technologies Microsoft Outlook contact database to third parties for the purpose of allowing them to market their products and services.

Data retention

Personal data will be retained within our contact database for as long as we have a relationship with a business contact, which is for the duration of our relationship with a contact or their organisation.

Personal data may be held for longer periods where extended retention periods are required by law or regulation and in order to establish, exercise or defend our legal rights.

How we share personal data and locations of processing

The Kanj Technologies Outlook contact database is provided by Microsoft Office365 and is hosted in Microsoft’s UK Geo Locations (London, Cardiff and Durham). At any given time, your personal data may be stored ‘at rest’ in any of the data center locations.

The information in the Outlook contact database may be accessed by Kanj Technologies’ employees for the purposes described above.
